MATT JEFFERIES ENTERTAINMENT TERMS AND CONDITIONS

Please read these terms and conditions carefully before booking Our Services.

Matt Jefferies Entertainment (which will be referred to as  “WE” or “The Company”) will provide the services booked on the date of the event, at the agreed location and agreed times, as stated on the Service Order / Booking Form or Invoice.

 

 BOOKING AND PAYMENT

  • To secure a DJ OR Photo Booth Booking, we will need a booking fee of $400 that can be paid via Bank Transfer, Paypal, or Credit Card. Payment is due within 3 days upon confirmation of booking. 
  • For DJ and Photo Booth Packages, we will need a booking fee of $500 that can be paid via Bank Transfer, Paypal, or Credit Card. Payment is due within 3 days upon confirmation of booking. 
  • For other services, the company reserves the right to adjust the booking fee.
  • Failure to pay the Booking fee by the DUE DATE will result in the loss of the Booking. The Company reserves the right to open up a booking date if the client has failed to make payment to secure their booking. All bookings are not confirmed until payment is received.
  • ALL Booking fee payments are NON-REFUNDABLE. The client agrees and understands that this payment is NON-REFUNDABLE upon booking.
  • The remaining balance is due 3 weeks before the event date. Failure to pay the remaining balance may cause the cancellation of your booking.
  • FULL Payment is required for bookings less than 3 weeks before the event.
  • ALL Payments need to be processed at least the day BEFORE the event. The operation will not start until the company is paid in full. 
  • For certain circumstances, which payments are processed after the event occur, the Company reserves the right to charge an overdue fee in addition to the remaining balance.
  • Overdue payments that exceed one month of the event date will be referred to a collection agency, with the client being liable for the additional collection fees.

 

REFUND AND POSTPONEMENT POLICY

  • Notification: The client must notify the company in writing to request a postponement.
  • The booking fee paid to secure the original date is NON-REFUNDABLE. 
  • Rescheduling Policy: We understand that plans can occasionally change. While a rescheduling fee of up to $300 may apply for events postponed from the original date, we assess each request on an individual basis. These fees are generally reserved for cases involving multiple reschedules that significantly impact our scheduling and staffing resources. In the event of genuine and unforeseen circumstances, this fee may be waived at management’s discretion.
  • New Date Availability: The company will make reasonable efforts to accommodate the new event date, subject to availability. If the new date is unavailable, the original event will be treated as a cancellation, and the client will be subject to our cancellation policy.
  • Changes in Service Availability: In the event of a postponement, the client will be informed of any changes in service rates or availability due to the new date. Adjustments will be made accordingly.

 

CANCELLATIONS

  • Any Cancellations MUST be made in writing via email. The company will send a confirmation email upon receiving the request for cancellation. The Deposit/Booking Fee is NON-REFUNDABLE but is transferable or can be used as a CREDIT to any of our services. Any payments made after the Booking fee will be refunded at the company’s discretion. Processing of refund will take up to 28 business days. 
  • All Credits will expire 2 years from when payment has been received. The client has a responsibility to engage in our services in regard to the usage of credits.

 

EXTENDING HIRED HOURS ON THE DAY

  • For additional hours requested on the day, it would be $150/hour overtime fee that can be paid via cash on the day subject to approval by client and The Company. Let our onsite attendant know beforehand if you decided to extend your hired hours. 

 

HEALTH, SAFETY AND MISBEHAVIOUR

  • The Company reserve the right to cease performance should any physical or verbal abuse or intimidating actions be made to the DJ/Photo Booth Operator. If the Client is able to resolve the threatening situation within a reasonable amount of time (20 minutes), we shall resume performance in accordance with the original terms and conditions of this agreement. You will be advised of any problems that we may have in this respect with any of your guests.
  • Client shall be responsible for payment in full when such a situation occurs, regardless of whether the situation is resolved, or whether the Entertainer resumes performance. We will not be responsible for any damage or loss to private or public property caused by invited or uninvited guests.
  • Should guests cause the event to finish early due to misconduct, violent, aggressive and destructive behaviour, the company will not be liable for non-performance and the full fee will be applied.
  • Matt Jefferies Entertainment reserves the right to discontinue all or part of equipment usage if the power provided is not capable of operating the equipment without risk of damage to the equipment, the Company, staff, or the public, or if the working environment constitutes a health and safety risk.
  • The company will not be liable for failing to perform under the agreement by the occurrence of any event mentioned above.

EQUIPMENT DAMAGE AND POLICY

  • All equipment supplied by Matt Jefferies Entertainment must be treated with care at all times. Clients and event attendees are not permitted to adjust, move, or alter the setup of any photo booth or equipment unless a staff member is present. The client is fully responsible for any damage, loss, or misuse of the equipment that occurs during the event.

  • If any of our equipment is damaged, misused, or tampered with (whether accidental or intentional), Matt Jefferies Entertainnment reserves the right to immediately cease operation and pack up equipment.

  • In the event of equipment damage or misuse, the event will be considered terminated. No refunds will be provided, regardless of how much time of service has been completed.

  • The client may also be held liable for costs associated with repairing or replacing damaged equipment. An invoice will be issued, and full payment will be required. 

EQUIPMENT FAILURE

  • The Company is not responsible for any power outages. Since every reasonable safeguard is assured, the Company cannot be held responsible for any sudden malfunction or breakdown of any electrical equipment as this is an unavoidable occurrence and is outside of our control.

 

POWER SURGE RESPONSIBILITY

  • The Company is not responsible for any interruptions or damages due to power surges or fluctuations at the event venue. In the event of a power surge, our hired hours will remain unaffected, and service will resume as soon as conditions are safe. Any disruptions caused by power issues outside our control will not result in additional time or refunds.

 

MASHUP AND CUSTOM EDIT SONGS

  • No Audio Editing or Mashup Services Provided: Matt Jefferies Entertainment does not create mashup songs, audio edits or any custom song modifications. These services are not included in any of our DJ packages.
  • Accepted Music Formats: Clients may provide pre-edited songs (e.g., shortened versions, mashups, remixes) in high-quality MP3 format. It is the client’s responsibility to ensure these tracks are properly edited and performance-ready.
  • YouTube Links: Clients can submit YouTube links of the desired song versions. It is the client’s responsibility to check the song in full before submitting the link.
  • Client Responsibility for Copyright & Licensing: By providing custom or edited tracks, clients confirm they have the rights or permission to use the music. Matt Jefferies Entertainment is not liable for any copyright issues related to client-supplied music.

 

SONGS IN DIFFERENT LANGUAGES

  • YouTube Links Required: To ensure we play the correct multicultural or foreign language songs, clients must provide a direct YouTube link for each song, not just the song title. This helps us identify the exact version you want.

  • Song Accuracy: Providing only the song title or artist may result in incorrect songs being played, as many songs have multiple versions or covers in different languages.

  • Accepted Formats: If you do not have a YouTube link, you may provide a high-quality audio MP3 file of the exact song you want us to play.

 

THIRD-PARTY EQUIPMENT AND LIABILITY

  • No Third-Party Connections
    Only Matt Jefferies Entertainment equipment is permitted to be connected to our DJ setup during events. We do not allow any external devices, audio systems, or additional equipment to be plugged into our DJ equipment. Note: Only pre-approved videographers are permitted to connect to our system for audio recording purposes.
  • Liability for Unauthorised Connections
    Matt Jefferies Entertainment is not liable for any issues, damages, or malfunctions that may occur if unauthorised devices or equipment are connected to our DJ system. Any damage caused by third-party equipment may result in additional charges for repairs or replacement.
  • Client Responsibility
    The client is responsible for informing all guests, vendors, and other parties involved in the event of this policy.
  • Safety and Quality Standards
    This policy is in place to maintain the safety, performance, and quality of our services. 

 

BASIC WEDDING MC DUTIES 

  • Complimentary Basic MC Services for Weddings
    Matt Jefferies Entertainment offers basic Master of Ceremonies (MC) services free of charge as part of our Wedding DJ package. This includes essential announcements, introductions, and brief crowd engagement to support the flow of the event. If you prefer not to include MC services, that’s perfectly fine, and we will focus solely on the music.
  • Limitations on MC Duties
    Our complimentary MC services do not extend to storytelling, hosting activities, or detailed audience interaction. If more extensive MC services are required, such as storytelling or leading activities, additional arrangements and fees may apply.
  • Primary Language
    Our MC services are conducted in English. If announcements in another language are required, please arrange for an additional MC or translator, as Matt Jefferies Entertainment does not provide multilingual MC services.
  •  

EVENT DETAILS AND LAST MINUTE CHANGES (DJ SERVICES)

  • Once the event planner locks in the event details, typically 7 days before the event, The Company will consider these details final, and any changes to the DJ playlist, MC services or schedule will be limited. We request that all final details be reviewed and confirmed before this period to ensure a smooth and seamless experience on the event day.
  • In the case of emergency changes, please respond to this email within 24 hours. While we do our best to monitor communications, Matt Jefferies Entertainment cannot be held responsible for any changes or requests made after the 7-day lock-in period that are not seen before the event begins.

 

MEALS

  • The Client agrees to provide a meal and drink for each Matt Jefferies Entertainment staff booked (DJ and/or photo booth operator) during any catered event that operates for longer than four 4 hours. If finger food/cocktail style event, reasonable access to finger food is requested in place of a meal.

 

 

PHOTO BOOTH RULES / SAFETY PRECAUTIONS

  • There will be no food and drinks on the props table and in the booth area.
  • No props are to be removed from the photo booth area.
  • During the event, if the crowd goes uncontrollable or guests display misbehaviours inside the booth area, the company will close the operation of the photo booth until the situation is resolved. Certain damage costs will be charged to the client if props were missing or damage to the mirror occurred during the event as inflicted by guests. Ceasing the operation of the photo booth is a protection for both parties to avoid additional costs or damages.
  • Children under the age of 10 are to be accompanied by an adult when selecting props and when inside the photo booth area.
  • For no reception coverage venue, the client agrees that this is beyond the company’s control. As a result of this, certain features of the photo booth (for example: SMS or Email feature) may not work. Rest assured that the client will receive all digital copies via a gallery link.

 

360 VIDEO BOOTH RULES / SAFETY PRECAUTIONS

  • Safety Instructions: All guests are required to follow the safety instructions provided by the booth operator at all times.
  • Platform Clearance: Guests must ensure the platform is free of any loose items, including but not limited to drinks, personal belongings, and other objects, before stepping on.
  • Operator Discretion: The booth operator reserves the right to deny participation to any guest who fails to comply with the safety guidelines to ensure the safety and enjoyment of all participants.
  • Technical issues: The company strives to deliver a seamless and enjoyable experience; however, technical issues may occasionally arise. In the event of any problems or loss of footage due to unforeseen malfunctions, the company shall not be held liable for any resulting inconvenience or disruption.

 

PRIVATE PHOTO/VIDEO GALLERY

  • Photos/Videos will be uploaded to our gallery and access will be provided via a link. Photos/Videos will stay for 6 months before they will be removed from our gallery. It is the client’s responsibility to upload all of their photos or videos within 6 months. 

 

LAWN GAMES HIRE

  • Setup and pack down are done by Matt Jefferies Entertainment to ensure the correct placement of the games hired.
  • The Company reserves the right to charge a refundable bond upon booking. The bond is refunded once the games have been inspected by Matt Jefferies Entertainment and no damages or missing pieces occurred during the event.
  • If damages occurred to our Lawn Games, the client will be charged a replacement cost depending on the severity of the damages.
  • Please note that all person using the games do so at their own risk. The client will be held responsible and liable for any damage or injury occurring from a result of misuse or reckless use. 
  • All lawn games must remain protected from weather and any games that are not useable due to weather will still incur the full hire fee. 

 

 WEDDING SPECIAL EFFECTS

  • Official Wedding Runsheet must be submitted 1 week prior to the event. Matt Jefferies Entertainment will send an event info sheet within the week (most likely the Monday of the event) and it is the client’s responsibility to confirm and inform us of any changes. It is NOT the company’s responsibility if there are changes on the day without prior knowledge that may lead to the wedding special effects not being set up on time. NO refund is given if the First Dance is ahead or behind schedule. It is the client’s responsibility to inform all wedding vendors involved (venue, DJ, MC) to follow the official runsheet.
  • It is the client’s responsibility to check with their venue if they allow indoor wedding effects like (dry ice machine, indoor fireworks) before booking and making a payment.
  • The company accepts no responsibility for the run time of the dry ice effect. The run time is an estimation and is a trade-off between run time and a more ambient effect. For example, longer-lasting effects will result in lighter clouds, shorter effects will result in dense clouds. Refunds will not be issued on the basis of a short run time or limited effect
  • The company will not accept responsibility if the doors or windows are open and/or air conditioning, fans, or other cooling/heating devices interfere with the effect. Venues are requested by the technician to reduce or turn off said devices.

 

RESPONSIBILITY FOR DAMAGED EQUIPMENT

  • By booking services with Matt Jefferies Entertainment, the Client acknowledges and agrees to be fully responsible for any damage, loss, or theft of equipment provided during the event. In the event of damage to equipment caused by the Client, their guests, other vendors, or event attendees, the Client agrees to pay the full replacement cost or repair fees, including any associated shipping or handling charges.

 

CONTENT USE / USE OF PROMOTIONAL MATERIALS

  • By using any of our services, including the 360 Video Booth, Photo Booth, or any other provided entertainment, the client consents to being filmed or photographed. The client also agrees that any videos, photos, or content captured may be used for promotional purposes by the event organizer or the company, unless explicitly stated otherwise in writing. We will remove images if requested in writing and will also comply with not displaying any images upfront if notified beforehand. The company will not use images which are not suitable for the website or any content that may be personally damaging to anyone.

 

ACCEPTANCE OF THIS AGREEMENT

By booking Matt Jefferies Entertainment, the client agrees to these Terms and Conditions.

All Terms and Conditions (whichever applies to your booking) will be deemed as accepted when the Booking Fee is received.
